Membership & Operations Coordinator

Part-Time (20-25 hours/week), Hybrid, $20-$25/hour

Protohaven is Pittsburgh’s largest non-profit makerspace, serving more than 200 artists, entrepreneurs, small-business owners, hobbyists, students and the community at large. Our mission is to engage people in the process of making things to enrich individual lives, build thriving communities, promote entrepreneurialism and contribute to a vibrant, sustainable society. Located in Pittsburgh’s East End, our 12,500-square-foot multidisciplinary facility is meant to help people from all walks of life create amazing projects, whether they be innovative prototypes, inspiring works of art, a creative consumer product or that “thing” they have always wanted to build.

Summary

The Protohaven Membership and Operations Coordinator is a vital, multifaceted role, but is principally tasked with helping to sustain and grow our creative community through active member engagement and recruitment, ensuring positive member experiences and smooth administrative operations. This public-facing position provides a reliable staff presence in the shop, serves as an intermediary between the board and the membership, helps lead membership growth and retention efforts, and attends to certain back-office functions of our organization. The person in this position works closely with members, the board of directors, and external partners.

Key Responsibilities:

  • Member Engagement: Lead recruitment and retention efforts, resolve member inquiries, process applications, and manage storage needs.
  • Administrative Support: Assist with bookkeeping, class registrations, CRM maintenance, and other administrative tasks.
  • Communication & Events: Draft member communications, collaborate on external events, and coordinate all-member meetings.

Qualifications

  • Associate’s degree (Bachelor’s preferred) with 1-2 years of relevant experience.
  • Outreach, marketing, and event coordination experience is a plus.
  • Proficiency in QuickBooks/accounting software and CRM software is a plus.
  • Strong organizational, problem-solving, and multitasking skills.
